Gym Equipment Maintenance

Gym equipment fails from use, not age. Belts, bearings, cables and upholstery are consumables once a machine is used daily — and the failure people notice is never the quiet one. It is the treadmill with an out-of-order sign on it for three weeks.

Two ways to handle it

Reactive

Fix it when it breaks

  • No standing cost
  • Downtime while parts are sourced
  • Members and guests see the fault first
  • Small wear becomes major failure
  • Unpredictable cost, always at the wrong moment
  • No record for insurance or safeguarding

Preventive

Service on a schedule

  • Faults found before users find them
  • Wear parts replaced before they fail
  • Known cost you can budget for
  • Documented visits for insurance and duty of care
  • Equipment lasts closer to its design life
  • Covered under an AMC

What a service visit covers

Equipment Checked Common wear points
Treadmills Belt tension and tracking, deck condition, motor and rollers, lubrication, console and safety stop Belt, deck, drive belt, rollers
Bikes and ellipticals Resistance mechanism, bearings, pedals and cranks, console, drive belt Bearings, pedals, drive belt
Rowers Chain or belt, damper, seat rollers, handle and footplates Seat rollers, chain
Cable machines Cable condition, pulley wear, weight stack travel, guide rods, pins Cables, pulleys, bushings
Racks and benches Frame fixings, J-hooks and safeties, pad condition, welds Fixings, upholstery
Selectorised machines Guide rods, bushings, seat adjustment, upholstery, decals Bushings, cables, pads

Cables are the one to watch. A frayed cable on a loaded stack is a genuine injury risk, and it is the item most often missed because it is out of sight inside the shroud.

How often

Frequency follows usage, not the calendar. These are the intervals we normally recommend — the right answer for your site depends on hours open and how many people use it.

  • Home gymAnnual check is usually enough, plus attention if something changes in feel or noise.
  • Hotel or apartment gymQuarterly. Unsupervised use means faults can sit unreported for weeks.
  • Corporate gymQuarterly, timed around low-usage periods so the room stays available.
  • Commercial clubMonthly to quarterly depending on footfall, with cardio prioritised.
  • School or universityTermly, with documented checks for duty of care.
  • Any siteImmediately if you hear grinding, see a frayed cable, or a safety stop fails.

Frequently asked questions

Do you service equipment you did not supply?

Yes. Tell us the makes, models and roughly how many units, and we will confirm what we can cover — parts availability for some older or obscure brands is the limiting factor, not the labour.

What is the difference between maintenance and an AMC?

Maintenance is the work. An AMC is the agreement that puts that work on a schedule at an agreed cost, so servicing happens whether or not someone remembers to call.

How quickly can you attend a breakdown?

It depends on location, the fault and whether parts are in stock. We will give you a realistic response commitment when we quote rather than a headline figure we cannot hold to. Sites under an AMC are prioritised.

Are parts included?

Labour and consumables like lubricant are normally part of a service visit. Replacement components are quoted separately unless your agreement says otherwise — it will be written down, not assumed.

Can you service outside opening hours?

Yes. For clubs, hotels and offices that is usually the point — servicing at 6am or after close means members never see a machine out of use.
