Annual Maintenance Contracts

An Annual Maintenance Contract turns servicing from something you remember into something that happens. You agree the scope, the visit frequency and the cost once; after that the visits are scheduled and documented, and you stop discovering faults through complaints.

Three ways clients structure cover

These are the shapes an agreement usually takes, not fixed packages. Scope and cost are set against your equipment list, unit count and opening hours — we will not quote a figure before we know those.

  • Scheduled checks

    Lower-usage sites

    • Planned visits at an agreed interval
    • Inspection and adjustment across all units
    • Lubrication and consumables
    • Written report after each visit
    • Parts and callouts quoted as needed
  • Full cover

    Clubs and multi-site operators

    • Everything above
    • Defined parts allowance in the agreement
    • Higher visit frequency for cardio
    • Asset register kept per site
    • One agreement across multiple locations

The terms, in plain language

AMC

Annual Maintenance Contract. A fixed-term agreement covering scheduled servicing, and depending on the level, reactive attendance and parts.

Preventive maintenance

Planned work to stop failures happening — adjusting, lubricating and replacing wear parts before they break.

Reactive callout

An unplanned visit because something has already failed. Included at some cover levels, chargeable at others.

Consumables

Parts expected to wear out with use — belts, cables, bushings, upholstery, lubricant.

Asset register

A list of every unit on site with make, model, serial and service history. What makes multi-site cover manageable.

Service report

The written record of what was checked, what was adjusted and what needs attention. Your evidence for insurance and duty of care.

Why sites without cover cost more

A cable replaced when it starts to fray is a consumable. The same cable left until it snaps can damage the stack, take the station out of use for weeks while parts are sourced, and in the worst case injure someone.

The same applies to treadmill belts and decks: a belt replaced on schedule is routine, a belt run to destruction usually takes the deck with it and sometimes the motor.

Frequently asked questions

What does an AMC cost?

It is priced against your equipment list, the number of units, your location and how often you need visits. Send us those and we will quote properly. Anyone quoting a figure before seeing your asset list is guessing.

Can you cover equipment bought elsewhere?

Yes. Send the makes, models and unit count and we will confirm what we can cover. Parts availability for older or obscure brands is usually the deciding factor.

How many visits a year should we have?

It follows usage. Hotel and corporate gyms commonly sit at quarterly; busy clubs need more frequent attention on cardio specifically; schools often work termly. See Maintenance for the intervals we normally recommend by site type.

Do we get documentation?

Yes — a written report per visit recording what was checked and what needs attention. For schools, hotels and workplaces that record matters as much as the work itself.

Can one contract cover several properties?

Yes, and for operators and developers it is the sensible route — one agreement, an asset register per site, and consistent intervals. Start at Business Enquiries.

What happens when the contract ends?

We review the asset register with you, flag anything approaching end of life, and requote for the next term. Nothing renews silently without you seeing the scope again.
